Guest Policy Update

Approved by Membership Committee on 5/9/2023, to be presented to the Board for the 5/19/2023 meeting.

Purpose:

To clarify the definition of direct supervision.

Policy:

  • Members with keys may bring guests into the MakeICT Makerspace in accordance with the [Building Access Policy].
  • Guests must sign-in and wear a guest ID.
  • Any person who is not a member with a key must be the guest of a member with a key to occupy the MakeICT Makerspace outside of officially posted event times.
    • This includes members who have not yet received their key, have lost their key, or, for any reason, do not have a key upon arrival at the makerspace.
  • Members are responsible for their guests and their actions.
  • Guests must be directly supervised by a member in the same room at all times while in the MakeICT Makerspace.
    • This includes children. The lounge is not a daycare.
    • Guests may be handed off to another member by mutual agreement.
    • Trips to the Restroom are exempt from this requirement.
  • Guests are strongly encouraged to become members and obtain a key.
  • Members with keys may bring guests to the MakeICT Makerspace, as long as they are not charging a fee.
    • Four guests or more may require a reservation in accordance with published rules / access policies for each area.
    • Makers Members may charge guests a fee to be in the Makerspace if they are actively tutoring them in a scholastic subject, or in accordance with current MakeICT class policies.
    • The host member is responsible/liable for the actions and consequences of their guests, and all guests must follow all current MakeICT policies and rules.
    • There is no fee for this resource to our members, but a donation is suggested to offset facility costs.

  • Guests must complete appropriate training by an authorized instructor before use of restricted equipment.

If this passes, how will it effect the groups of students we are bringing to the space? If a neighborhood kid comes into the garden or is crossing the property to get to the waterway how are we to address them? Will there be signage put up on the property to let our neighbors know they can no longer walk laps without a member present with them?

The vast majority of the wording is already in place. The neighbors walking on our property already don’t fit into the guest policy….

Directly supervised is a problem. While we don’t currently enforce outdoors this creates the potential in the future for someone to not make nice with the neighborhood. The last event we had with the students the adults stayed in the same room as the project they were leading and the students, many of them under 16 and not current members went round robin from project to project as they completed the task and were ready for the next project not directly supervised. How should that be handled?

This also buggs me, because it’s in direct conflict with a bullet point directly under it. I’m thinking of a way to clarify it with it’s intent.

Both of those are existing policies.

I read the lower bullet point as an exception to the “may not charge” stipulation.

The guest policy makes an exception for officially posted event times.

It’s not in direct conflict. This is talking about members charging guests a fee to enter the makerspace. That’s not allowed. But they can charge a fee to offer a tutoring service once inside the space. The fee would be for the tutoring, not for entrance into MakeICT.

If the wording is confusing, could you suggest something that might work better?

Throwing out some ideas:

  1. add the words “…for admission” to the end of “charging a fee” in the main point
  2. add “An exception for fee charging is…” before the exception
  3. combine the two thoughts and have “Members with keys may bring guests to the MakeICT Makerspace, as long as they are not charging a fee. However, fees may be charged for actively tutoring in a scholastic subject or in accordance with current MakeICT class policies.”

I know it is last minute, but I did get with the committee, and we revised bullet point 7 to simply it. Proposed verbiage will simply be:

  • Members with keys may bring up to 3 guests to the MakeICT Makerspace.
    • Four guests or more may require a reservation in accordance with published rules / access policies for each area.
    • Members may charge for services rendered at the Makerspace, but may not charge a fee for access.
